Role Description

Department of Health Sciences

The Department of Health Sciences is seeking an experienced Office Coordinator to join our Student & Academic Support Service. The Student & Academic Support Service sits under the umbrella of Teaching & Learning Support functions within the Department, alongside the Programmes Office and the Practice Education Support Team. The principal role is to provide a high-quality service to students, staff, stakeholders and external visitors to the Department by undertaking a range of administrative and advisory duties supporting the student lifecycle from pre-arrival to graduation.

Reporting to the Student Support & Engagement Manager, and in turn the Head of Student & Academic Services (Teaching & Learning Support), this role will supervise and coordinate the Student and Academic Support Services (SASS) team which provides support for student recruitment and admissions, student welcome and enrolment, student welfare support, timetabling, student records, student financial support and funding administration, (NHS Business Services Authority Learning Support Fund) statutory data returns to Health Education England (HEE), attendance monitoring, and also the Department’s front of house service, as well as technical support for our Clinical Simulation Unit.

Skills, Experience & Qualification needed

  • Supervise and coordinate a small team of administrative staff within the SASS team to achieve the team’s objectives; ie, allocate work and ensure that tasks are completed to objectives, quality and timeliness
  • Manage and review administrative systems and protocols to support a wide range of academic procedures and processes, to ensure they are fit for purpose and to maximise efficiency
  • Take a lead role in managing some areas of the team’s work and in contributing to Department service improvement projects and initiatives
  • Knowledge of a thorough understanding of the principles of service provision and office management
  • Ability to empathise with students and deal with sensitive issues in a calm, confidential and professional manner
  • A general education to include three passes at A ‘Level, or an equivalent qualification, or relevant experience
