Role Description

Directorate of Estates & Campus Services

We are inviting applications for an Administrator: PA to join our team.  We are based within the Directorate of Estates and Campus Services (DECS) is the largest of the University’s support departments and is responsible for the development and maintenance of the University estate. The Directorate is split into 3 main areas of service delivery which are: Estates Operations, Campus Services and Estates Development. 

Role

You will report to the DECS Services Manager and will work closely with our Senior PA to support our group of Directors.   You will be the first point of contact for the Directors and will provide informed advice and guidance to internal and external colleagues, customers and stake holders. Using your ability to juggle competing workloads and prioritise effectively, you will ensure your tasks are completed in a timely fashion and to a high standard. You will manage the emails and diaries of the directors, arrange and support internal and external meetings and make travel and accommodation arrangements. 

You must demonstrate a clear commitment to achieving service excellence through continuous improvement. In addition, you must have the ability to work both within a team and independently and prioritise your own workload effectively. You will use your excellent organisational and communication skills to help to establish good working relationships and collaborate with people across a range of disciplines.

You will be experienced in email and diary management as well as preparing agendas and taking and transcribing minutes to a high standard of accuracy. The team works extensively with Google’s suite of productivity tools - Gmail, Calendar, Docs and Sheets - and you’ll use your experience of those tools and other similar online services to help the whole team work efficiently together.

Skills, Experience & Qualifications needed

  • A general education to include 5 GCSE passes at Grade C, or above, or equivalent (including Maths and English), or an equivalent educational qualification, or relevant experience.
  • Thorough knowledge of administrative procedures and processes used in a busy office within a large complex organisation
  • Ability to effectively organise and prioritise own work and follow procedures in order to produce work to a high standard, to required deadlines.
  • Ability to communicate effectively with a wide range of people, orally and in writing
