Role Description


We are seeking to appoint an enthusiastic and well-organised individual to provide administrative support to the Individual Giving team.  The team works as part of the Office for Philanthropic Partnerships and Alumni which encourages alumni and others to share insights, give time and donate to York.  We have just launched York Unlimited our fundraising and volunteering campaign and this is an exciting time to be joining the Office.

Your main responsibilities will include organising visits of donors to campus, delivering a programme of events in London, booking travel and meetings for the team, recording activities on our database, preparing briefing documents and liaising with colleagues from other teams across the University.

You will have a good general education, as well as experience of working in a busy office. You will have excellent attention to detail, good written and verbal communication skills, be flexible, self-motivated, reliable, and be able to respond to a wide range of customers including donors and alumni. An ability to follow processes and procedures, and maintain accurate and up to date records is essential.


  • Providing administrative support to the Individual giving team including arranging meetings, filtering enquiries, drafting documentation and reports
  • Organise visits of donors to the University, liaising with Departments and offices of senior staff, ensuring a high quality service is provided to visitors
  • Support the team to plan and then deliver events in London
  • Prepare documents for events including briefings for staff, event time plans, profiles of guests
  • Occasional attendance at meetings and formal events relevant to the work of the Office for Philanthropic Partnership and Alumni
  • General office duties (travel, catering and room bookings, adding meetings and notes to the CRM database)

Skills, Experience & Qualification needed

  • A general education to include 5 GCSE passes at Grade C or above, or an equivalent educational qualification, or relevant experience
  • Thorough knowledge and understanding of the administrative procedures used in busy office within a complex organisation
  • Excellent IT skills, including use of Microsoft Office, particularly Word, Excel, Powerpoint
  • Excellent written and verbal communication skills, with the ability to communicate effectively with a wide range of colleagues and customers
  • Ability to work with attention to detail, producing work to a high standard
  • Able to work effectively as part of a team, demonstrating a professional and flexible approach
