Role Description

The Department of Biology is looking to appoint a PA/Administrator to be part of an exciting, newly formed Departmental Management Team (DMT) Hub. The DMT Hub is a professional first point of contact providing administrative support to members of the DMT and colleagues from the wider Department.

If you are seeking a role with a broad range of administrative elements then this might be the job for you.  As we emerge from a period of change, you will also have opportunity to work collaboratively with the Administration Manager and team members from the DMT Hub to put in place systems and processes to maximise the efficiency and effectiveness of the administrative function.

The range of work provided by the DMT Hub is as follows:

  • HoD PA support
  • Human Resource administration
  • Administrative support to DMT members
  • Administrative support to senior academic staff members as agreed by HoD
  • Administrative support for allocated “satellite units” as agreed by the Departmental Manager
  • Support to alumni and PR events for the Department (that do not fall within student and academic services)
  • Social media support on behalf of the whole Department (in collaboration with the Student Engagement Manager)
  • Office duties (such as, but not limited to, organising travel, accommodation, stationery ordering, photocopier maintenance, catering, recycling)
  • Provide cover for other areas if there is a staffing shortfall (i.e. student support, infrastructure, research groups)
  • Department Committees
  • Research seminars

You will be professional and highly organised, with experience of working as a PA in a large organisation, be competent with busy diary management and be willing to support the other DMT Hub members and other areas of the Department.  You’ll be happy to work flexibly in order to be part of an inclusive, diverse and friendly team.  You will be handling a large volume of highly sensitive information, so knowledge of the Data Protection Act and experience of working with confidential information/data is essential.

Informal enquiries are welcomed and should be made to Ellie Purser, Administration Manager – E: ellie.purser@york.ac.uk T: 01904 328757.  Alternatively, you can email biol-personnel@york.ac.uk

The post is full time (37 hours a week) and salary is in the range £20,624 - £23,879 a year.

Closing date: 26 July 2017
