Role Description

Directorate of Technology, Estates & Facilities -

DTEF is responsible for ‘providing outstanding work, study, research facilities, and facilities to enhance the student experience, on campus and online’.

Our directorate consists of three sections which are:

Technology:  IT Infrastructure: Networks, Faculty IT and Security, Systems, Desktop and Print.  

Digital: Software, Projects, BA/change management.

Estates:  Estates Operations: Asset Management, Policy & Assurance, Operations & Maintenance.

Estates Development: Estates Programmes, Projects, and DTEF Engagement.

Facilities: Campus Services: Facilities, Admin. & Customers, Accommodation & Room Bookings

Commercial Services: Retail, Catering, Conferences, Nursery, Copy & Print, York Sport, York Science Park Ltd & Guildhall.

This role is part of the Administration Team team and will work closely with our Senior PA to support our group of Directors.

This is a busy, varied role in which flexibility and attention to detail are key. For this role it is essential that the post holder be proficient in taking minutes and is experienced in providing PA support.


You will be the first point of contact for the Directors and will provide informed advice and guidance to internal and external colleagues, customers and stakeholders. Using your ability to juggle competing workloads and prioritise effectively, you will ensure your tasks are completed in a timely fashion and to a high standard. You will manage the emails and diaries of the directors, arrange and support internal and external meetings and make travel and accommodation arrangements.

You must demonstrate a clear commitment to achieving service excellence through continuous improvement. In addition, you must have the ability to work both within a team and independently and prioritise your own workload effectively. You will use your excellent organisational and communication skills to help to establish good working relationships and collaborate with people across a range of disciplines.

You will be experienced in email and diary management as well as preparing agendas and taking and transcribing minutes to a high standard of accuracy. The team works extensively with Google’s suite of productivity tools - Gmail, Calendar, Docs and Sheets - and you’ll use your experience of those tools and/or other similar online services to help the whole team work efficiently together.

Skills, Experience & Qualification needed

  • Qualified to 5 GCSE passes at level 4 /Grade C or above (including Maths and English), an equivalent educational qualification, or relevant experience
  •  Experience of providing an excellent standard of customer service to a range of stakeholders
  •  Experience of taking and transcribing detailed minutes to a high standard and in various formats
  • Excellent interpersonal and communications skills, including face to face, online meetings, over the telephone and in writing.
